Guidelines for Board members on making use of
the lists and addresses.

| 1 | Email addresses for individual officers as well as for the various lists can be found by clicking the contacts button which is on the bottom of most pages on our web site. | |
| 2 | Please use and promote the use of the various lists and addresses and not individual email addresses. This way, information gets to all the people it should get to and doesn't get lost or forgotten. | |
| 3 | You may choose to have multiple email addresses on our lists. For example, you may want to receive email at both your home and work addresses. | |
| 4 | Listed below is a guide to where people should send various types of email | |
| A | TLAs, articles, news

This address reaches the most people in the Maca organization, namely, the Board of directors, the ChessHorizons staff and the Web Team. |

| B | Web or email address questions should be sent to WebMaster@MassChess.org | |
| C | Membership questions should be sent to Membership@MassChess.org | |
| D | General inquires should be sent to Info@MassChess.org | |
| E | If someone want to address the entire board of directors, invite them to send their email to the board list address, Board@MassChess.org If email is sent to the board, ONLY the President or an agreed upon individual should respond on behalf of the board. | |
| F | If someone wishes to have news or an event sent out to the Maca News list, they should send it to the WebMaster@MassChess.org Please instruct them to clearly indicate that it is a request for sending out to the list. | |
| G | The Maca News List
is to be used to send out information that is of general interest to our
membership. This includes announcements of chess related area or
regional events and news. Messages are only sent out occasionally so
as to not annoy our subscribers on the list. Generally we wait if we
can, until we've accumulated several items of information to send. The News list is a "closed" list. This means that only the Web team can send messages out to the list. If you want a message sent out to the list, please send it to the WebMaster@ address with instructions to send it out to the list with the SUBJECT line you want for the email. The web team receives a lot of email. Without clearly telling the team that it is intended to be sent out, it may get filed away or deleted by mistake. |

| 5 | When you receive email from one of the Maca addresses, please remember: | |
| A | Multiple people are receiving the email at Maca | |
| B | If you feel you are the person who can most appropriately respond to the email, you should do so. If YOU respond, ALWAYS copy back to the same address from which the email was forwarded to you from. That is to say, if it came from the Info address, copy back your response to that address. This way, all others who received the email will know that it has been responded to. |

| C | If you feel that you are Not the person who should respond AND you don't see someone respond in a reasonable time frame (usually a few days), then please, take it upon yourself to at least send an acknowledgement to the person who sent the inquiry and then track down who at Maca should respond. |

| D | Remember that you are representing Maca and the Maca Board and choose your words wisely when responding to email. |
